Job Title: Warranty & Customer Service Representative

General Summary of the Job:
The incumbent is responsible for all warranty product repairs, processing and maintaining customer service plus assisting with the updating and managing of warranty data and inventory.

Core Tasks and Duties/Performance Expectations:
• Repair all warranty returned product;
• Maintain, organize and manage warranty work area;
• Assist in maintaining the warranty parts inventory;
• Receive and process customer service and warranty calls;
• Up sell customers product as required;
• Update warranty information sheets;
• File warranty information;
• Review warranty material and procedures as required;
• Report and document unusual warranty circumstances immediately;
• Assist in preparing monthly warranty reports;
• Prepare warranty invoices through Sage;
• Process RMA’s using Frontlines system;
• Assist with reports using Frontlines;
• Assist with warranty projects;
• Provide technical training to sales staff and company representatives;
• Assist with training offsite service staff;
• Attend Trade Shows as required;
• Other duties as assigned

Qualifications:
• Post-secondary education from an accredited institution or equivalent work experience;
• Must have a minimum 2 years previous Customer Service experience, preference will be given to individuals that have worked in a similar industry working with archery equipment;
• High level of energy and initiative;
• Professional and accountable;
• Strong analytical and strategic skills;
• Great attention to detail and time management skills;
• Strong presentation, written and oral communication and interpersonal skills; 
• Computer literate in MS Word, Excel & PowerPoint and ERP systems;
• Ability to effectively manage your time and work against business deadlines;
• Exceptional follow through, great ability to prioritize and strong organizational skills;
• Ability to define problems and recommend sound solutions under pressure and tight deadlines;
• Strong mechanical aptitude;
• Willingness to work long hours as required;
• Knowledge of French language is considered an asset (writing and speaking)
• Previous exposure to outdoor industry is considered an asset

Description of the Working Conditions:
• 90% office environment.  Working conditions are normal for an office environment. 
• 5% travel
• 5% Trade Shows Environment
• Must be willing to extended hours as required

Job Title:Administrative Assistant/Accounts Receivable Clerk

General Summary of the Job:
The Administrative Assistant/Accounts Receivable Clerk is responsible for providing efficient and effective administrative support, file management, processing and monitoring of payments and expenditures, preparing reports, reconciliations and receptionist coverage.

Core Tasks and Duties/Performance Expectations:
• Provides assistance with reception duties by receiving in-coming telephone calls, screening telephone calls, routing incoming calls, and greeting and directing in-person visits;
• Complete filing for A/R, A/P and Sales;
• Prepare daily banking deposit and applicable supporting documentation;
• Assemble invoices for mailing, faxing or distributing;
• Reconcile shipping invoices (UPS, Near North; Canpar; Global Payments; SPS and EDI);
• Assist in preparation of monthly commission reports;
• Process customer invoices;
• Answer any client inquiries regarding payment;
• Assist with the collections and reconciliations for A/R portfolio;
• Monitoring outstanding receivable balances and aging reports;
• Investigate and reconcile discrepancies on accounts;
• Maintain ongoing and timely communication and follow up with clients;
• Liaise with sales and other departments to resolve specific customer issues;
• Track and analyze customer programs;
• Provide weekly and monthly reports to the Controller;
• Month end and year end duties;
• Provide administrative and office support to team members as required;
• Meet defined department goals; other administrative duties as assigned.

Qualifications:
• Post-secondary degree/diploma, preferably in business/accounting or equivalent with a minimum of 2 years related experience
• Computer literate in MS Word , Excel & PowerPoint and ERP systems
• Experience dealing with major retailers and prior vendor contract exposure is considered an asset
• Strong attention to detail with the ability to meet deadlines and multitask
• Strong organizational skills, self-starter with the ability to take the initiative and solve problems and work with minimum supervision
• Excellent interpersonal and communication skills both written and verbal are essential
• Ability to ensure integrity of data and confidentiality of customer information

Description of the Working Conditions:
• Working conditions are normal for an office environment.
• Must be willing to work extended hours and weekends during peak seasons, or to facilitate meeting other project deadlines.
